Field visits

Every store visit produces information worth keeping for years. Recording it was never the problem: getting back to it is.

What field visit management is

Field visit management is the structured recording of every trip to a point of sale: who went, when, what they checked, what they photographed and what was left unresolved. Unlike a written report, it is stored in comparable fields, which lets you cross hundreds of visits instead of reading them one by one.

Why a written report is not enough

A text report answers "what happened on this visit" well and "in how many stores did this happen" very badly. Because everyone writes differently, there is no way to add up, compare or filter. After a year there are hundreds of documents and no quick answers.

How a visit works

  1. Open the visit on site

    Pick the store in the app. Location and time are attached to the record, which is what makes it credible to the client.

  2. Answer the checklist

    The questions configured for that brand or category. Closed answers wherever possible, so data stays comparable across stores.

  3. Take photos

    Shelf, promotional material and anything out of the ordinary. Photos stay attached to the answer, not in a separate gallery.

  4. Log what needs action

    An incident, an opportunity or a task, with an owner and a due date. This is what stops the problem getting lost.

  5. Submit

    The visit is immediately available to supervisors, and the automatic rules evaluate whether any action should be created.

Recovering the context of a store

A rep is visiting a store they have not seen in eight months. Before going in, they open the store page and see the last visit: what was agreed, the shelf photos from the time and the two incidents left open. They start the conversation with context instead of from scratch.

Backing a complaint to the retailer

The brand claims the agreed space is not being respected. Instead of one word against another, it presents dated, geolocated photos from six visits across three months.

Working out whether a problem is isolated

One store reports a product out of stock. Filtering that brand across the last month shows it happened in 14 of the 30 stores visited, which turns the conversation from "this store" into "this chain".

Frequently asked questions

Can a visit be recorded without internet?

Yes. The record is held on the device and syncs automatically once the connection returns, without losing photos or answers.

How long does recording a visit take?

It depends on the size of the checklist. A well designed one, with closed answers, usually lands between three and seven minutes. If it is taking more than ten, the problem is normally the checklist rather than the tool.

Can I see the full history of a store?

Yes. The store page shows every visit in chronological order, with the answers, photos and incidents from each one.

Is geolocation mandatory?

It is recorded when the visit is opened. It exists to make the record credible, not to monitor the person outside the moment of the visit.

Can I have different checklists per brand?

Yes. Each brand or category can have its own checklist, and one visit can cover several brands at once.

Do digital visits share the same history?

They do. Visits made through the Chrome extension to online stores appear in the same list, marked as digital, and count towards the same reports and metrics.
